This notice explains how Pets on the Green Ltd uses personal information about you, your child, and any other person you tell us about. It is written as plainly as possible — if anything is unclear, please contact us and we will be happy to explain.
Some information about children is special category data — in particular health and SEND. We treat this with extra care. The conditions we rely on are:
Explicit consent (withdrawable).
Vital interests (a medical emergency).
Substantial public interest (safeguarding children at risk).
Who we share it with
With you (in respect of your own child).
With your child's school or Local Authority where relevant.
With other professionals (SENCO, therapist, social worker, CAMHS) with consent or under safeguarding duties.
With service providers (cloud storage, accounting, payroll, payments) under UK-GDPR-compliant contracts.
With statutory authorities (HMRC, Companies House, ICO, police, social services) where required by law.
With emergency services in an emergency.
We do not sell personal information.
How long we keep it
We keep information only as long as needed. Full detail is in our Records Retention Schedule, available on request. As a guide:
Booking / session records — engagement + 7 years (tax / contract).
Safeguarding records — per statutory guidance, often into adulthood.
Marketing contacts — until you unsubscribe, then a short audit period.
Photos / video used with consent — for the agreed period or until consent is withdrawn.
Your rights
Where the data subject is a child, parents and carers normally exercise these rights, taking account of the child's wishes and capacity. You have the right:

To get a copy of your data.
To have inaccurate data corrected.
To have data deleted in certain circumstances.
To restrict processing.
To receive data in a portable format.
To object to certain processing.
To withdraw consent where we rely on consent.
To exercise any right, contact us using the details above. We respond within one calendar month.

Concerns

Changes
We review this notice at least once a year and update it if our practices or the law change.
